PHG Board Meeting 12-17-20

Agenda
Portland Handweavers Guild Board Meeting
7 PM, December 17, 2020
Online Zoom Meeting

  1. Call to Order – Meeting called to order 7:06pm
    1. Roll Call: Lynne Fitzsimmons, Chris Rossi, Sue Walsh, Lynette Peterson, Janis Johnson, Linda Edquist, Robin Korybski, Dan Steves, Sylvia Emard
  2. Minutes approved (Lynne Fitzsimmons)
  3. Treasurers Report (Lynette Peterson)
    1. Lynette will mail a copy to everyone
    2. GOTG K-2 form not yet received
    3. Still searching for any records of a payment to Megan Rothstein (her grant) and Laura (rigid heddle group)
    4. $5500 received from GOTG; should go into the general fund
  4. Revisit putting Coverlet Project and History Online (Robin Korybski)
    1. In 2018 wanted to put it online, as we weren’t going to print and sell it again.  One strong objection.  Later research recommended we put it online.
    2. Sue moved to discuss, Janis seconded
    3. Discussion: There already exists a PDF version.  The quality could be better.  If posting it as a PDF should provide text explaining where the document came from and how PHG expects it to be used.  It should probably have a Creative Commons copyright (can share with attribution, but can’t change it.  For personal use only, NOT for sale).  The recommendation is to put it on the Guild History Page.
    4. The actual coverlet has not been found
    5. Motion passed and seconded to vote on placing it online.  Passed Unanimously.
  5. Closet random discussion (Sue and Robin)
    1. The President’s Box was found, with the gavel
    2. Robin is going through some boxes of small equipment.  Found 3 temples, an auto reed hook, new Bluster Bay shuttles, a niddy noddy, and the hat heads.
    3. Closet access in the time of Covid is getting more complicated; sign-in requirements.
  6. GOTG Online Sale (Janis)
    1. Planned for Spring 2021; all 6 guilds will participate.
    2. A website will be create with links to the artists with their contact information.  Website budget, $300/guild.
    3. Overhead expenses $340/guild
    4. Artists who have large contact lists only join the guild to sell.  The proposal is based on that based on historical record, there will be more in membership income than the guild’s contribution to GOTG expenses.
    5. Janis proposes the guild pay the $640.  It was noted that the guild will need 12 memberships to break even; last year 38 artists joined, 6 of which are current members.
    6. Sale items will be juried.
    7. It is recommended that PHG waive participation and commission fees, as this is a trial for future endeavors.
    8. Janis moved that PHG pay the fee, and waive participation and commission fees, Linda seconded.  Passed unanimously.
  7. Recruiting Board Members (Chris)
    1. It is time to start this.  Chris will not continue, Linda and Dan want different positions.
    2. All boards have the same problem.
    3. Our reasons for joining were discussed.
      • Meet people and help out
      • Meet cool artists and instructors
      • Give back to the guild
      • Like to know what is going on
      • I’m more active because I’m on the board
      • Makes me a better weaver
  8. Upcoming Programs (Linda)
    • January – Robyn Spady
    • February – open (updated Melissa Weaver Dunning)
    • March – open
    • April – Jennifer Moore
    • May – Deborah Jarchow
  9. Outstanding Previous Agenda Items (mostly from Sue)
    • Told WEGO we’d be happy to accept their grant
    • We received many thank you’s from the weavers in Southern Oregon, especially for all the small tools. We are ready to transition from their specific need to the needs of more weaving guilds in Oregon.
    • Linda Gettman (Central Oregon) noted that Show and Tell was really long at our last meeting, and the speaker felt that she was “in the wings” for a long while.  We all love Show and Tell.  It was decided to move it to after the speaker.
    • The meeting zoom is open at 6:30pm for social time.
    • We like that the meeting is being recorded.
    • It was recommended that even when we go back to in-person, that we continue the powerpoint Show and Tell so that everyone can see better (the physical object would still be there for up close and personal), as well as building up a historical record of members’ works.
  10. Meeting adjourned 8:18pm
