PHG Meeting Info

NOTICE: Meetings will be held both in-person and on Zoom until further notice. Zoom links are provided in the PHG Calendar where Zoom participation is available.

PHG meets on the second Thursday of every month during September - June at the Multnomah Art Center.

Morning Meetings 10am - noon, 9:30am social
Evening Meetings 7pm - 9pm, 6:30 social

  1. Greetings
  2. Call to Order – Meeting started at 7:04pm

Old Business

  1. Financial Report
    1. The treasurer presented the 2023 financials withan eye to long-range planning/change of venue
    2. Sales haven’t been contributing noticeable income
    3. Income discussion
      1. Workshop income/expense is masked
      2. MAC rents possibly increased after the last budget was approved
      3. Given rising costs, maybe it is time to consider a dues increase
  2. Sales Policy Update
    1. The Sales Committee is ok with vendors demonstrating in their own booths
    2. Discussion on mandating vendors provide volunteers
      1. The vendors hate it
      2. All guilds contribute to the management of the event
        1. Fire Marshal requires door counters to manage capacity
        2. Greeters, Gallery (setup, object placed, supervisors, facilitate purchases from the artist)
        3. PHG Booth monitor to provide a bit of security, plus relieve vendors who need to take a break
        4. Vendors can outsource their volunteer duties.  There may be volunteers for hire as well (contribute to the guild?  Keep the funds?)
        5. What language do we want to put in the sales policy regarding volunteers?
          1. Once the policy is created, the Sales Committee can come up with their solution
        6. Separate policy for the Guild Booth, although volunteers should be provided from there as well.
        7. If guild members cease doing the demonstrations out fron and volunteer to support the sale/vendors, the guild general membership is working for the vendors.
      3. If there is a Guild/Community booth where the participants are not PHG members, should they pay more/work more?  Vendors may be required to volunteer some time toward the success of the event.
      4. Finalizing the Sales Policy has been tabled, work to continue offline.
      5. PHG Sales Committee does want to proceed with GOTG
        1. 10×10 booth will cost $450.
        2. We need to commit $10000 to GOTG; need 23 vendors to break even
        3. The Guild booth might be 10×15 or 10×20
        4. The GOTG contract needs to be signed
      6. Affiliate Guilds for sales
        1. A way to fill booths, Eugene Guild, Columbia Guild, Basketry Guild
        2. Sales Committee discussion
          1. Currently, all vendors must be Guild members.  If 5 people in Eugene want to sell in one booth, all 5 must join the Guild.
          2. Perhaps a policy could be created that allows affiliate guilds (WEGO/ANWG) to participate
          3. New membership class: “Affiliate Guild”
            1. Available to any ANWG guild
            2. Cost will be $75.
            3. A bylaws update will be drafted
            4. Tim recommends the point of contact be a member, but others in booth don’t have to be members
            5. Our guild members first, then open to others.  Perhaps a premium of $50 on the booth charge
            6. Perhaps a joint agreement with other guilds
            7. Open to any ANWG guild

New Business

  1. Approval of 2024 GOTG Agreement
    1. Moved and seconded
    2. Passed unanimously
  2. GOTG Future
    1. Roger Crooks (Oregon Guild of Woodworkers) will be stepping down after 2024
    2. Maybe the potters want to step up and sign the contract
      1. The potters take up a lot of the space
    3. Unclear what this means for the future.  Is anyone in PHG a good fit for the role?
    4. GOTG could possibly not continue
    5. Woodworkers and (some other guild) are doing a sale in conjunction with the MACA sale
  3. SCORE mentoring (Sharon)
    1. Contacted SCORE for mentoring.  This is an outreach of the SBA; it is free, staffed by retired seasoned entrepreneurs.  They mentor nonprofits.  Sharon was contacted by Martin (Woodworkers).  She will follow up with a mentor.  Nora is also interested.  Email Sharon if you are interested.
  • Director Reports
    • The workshop chair will continue through the Dianne Totten workshop.

    • Next Board meeting will be at the regular time in January.
    • December meeting will be scheduled if necessary
