PHG Board Meeting 5-27-21

Agenda
Portland Handweavers Guild Board Meeting
7 PM, May 27, 2021
Online Zoom Meeting

  1. Call to Order – Meeting called to order 7:08pm
    1. Roll Call: Lynne Fitzsimmons, Chris Rossi, Sue Walsh, Lynette Peterson, Janis Johnson, Linda Edquist, Robin Korybski, Dan Steves, Maggie Patterson, Sylvia Emard, Sarah McCully-Posner, Jessica Bardsley
  2. April Minutes: approved with slight rewording. (Lynne Fitzsimmons)
  3. Budget (Lynette Peterson)
    • The Board discussed each line item
    • Spending down our assets was mentioned
    • Becoming a 503c3 was discussed
      1. GOTG learning – hire an actual legal professional for this
      2. Linda recommended finding a pro bono lawyer
      3. Jessica recommended Rational Unicorn law firm; flat hourly rate, no retainer
      4. WEGO and Central Oregon Guild went 501c3; Sue will ask who helped them.
    • Linda noted that the Guild does not have a process for accepting donations; donations to the Guild are not tax-deductible.  We are likely to continue receive increasing donations/money, and we should formalize our process.
  4. Janis mentioned that The Bead Society is having a sale; joining the Bead Society is required to participate.  It is more expensive than selling at GOTG.
  5. Possibly requiring COVID vaccinations to participate in in-person workshops
    • Madelyn VanDerHoogt requires vaccines to participate in her workshop
    • It can be seen for the other side, legitimate health or religious reasons not to be vaccinated
    • If one is not vaccinated, wear a mask.  If concerned, wear a mask.
    • Clean the bathroom maybe (the latest science doesn’t think this is necessary).
    • Depending on the current state of occupancy restrictions, might have to limit the number of participants if there are nonvaccinated registrants.
    • Show proof of vaccination or wear a mask.
      1. If keeping records of who is vaccinated, privacy concerns – Name, DOB
      2. Note: the copy of the vaccination record would not be kept, only that proof had been presented.
    • First workshop is in December; what about first in-person meeting in September?
      1. Or a summer in-person Board meeting?  Live?  Outdoor?  Backyard?
      2. Or the New Member Tea in the fall (usually October)
    • I think we decided to see what the current guidelines are around the time of the event.
