Site Visitors – What Personal Data We Collect and Why We Collect It
Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Cookies
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.
Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Visitor comments may be checked through an automated spam detection service.

PHG Members – Privacy and Your Member Profile
Though we don’t store sensitive information like credit card numbers we do have member addresses and phone numbers, and some of that information can be viewed in different ways by different people visiting the PHG website. Here’s a quick guide to what we have, how it can be viewed, and how you can control access to that information.
What information does PHG collect?
Your profile includes the following pieces of information:
- Name
- Address, including street address, city, state and zip code
- Phone number
- Email address
- Website
- Interests
- Years of membership in PHG
- Member profile picture (optional)
Your profile DOES NOT include:
- Credit card numbers
- Bank account information
- Social security number
- Date of Birth
Who can access this information?
This information is available to system administrators, the guild president, and the guild membership director. Members with a valid login (username and password) may also access this information.
Where is this information displayed on the PHG Website?
There are two ways to access this information. There is an online Member Directory page that the membership system maintains automatically. There are also pdf versions of member directories from prior years. Access to both of these is restricted to current members only with a valid system login requiring username and password.
How do PHG members access this information?
- PHG maintains a directory page that displays your membership information, and includes a search option to find current members of PHG
- PHG also maintains a PHG Handbook & Directory, available in PDF format, on the PHG Member Directory page.
- PDF copies of recent PHG Directories are available for download by members only from the Past Directories page.
What about visitors who aren’t members of PHG? What information can they see and/or access?
- Any information included in our monthly newsletter is available to the public on our website.
- Featured artists listings includes a gallery of photos from our Instagram account. Any information posted there would be available to any visitor to the site.
- PHG Board and Chairs page lists names of officers, board members, and various chairs
Can I control what information is accessible?
Yes. By default the PDF version of the PHG Handbook and Directory will include your name, address, phone number, email address, website, and fiber interests. Historically this has always been included in the directory, but if you want to withhold some of that information from the PDF just contact the Membership Director and ask to remove anything you don’t want included in the directory. In addition, members have the ability to update and maintain their user profiles by logging in with their username and password.
How can I update my profile settings and control who can see these pieces of information?
- Login to the PHG website with your username and password
- Go to Members Only -> Directory Update
- Your current directory information is displayed. You may make edits as needed, then click the “Submit” button at the bottom of the page.
- Note that our membership system requires an email address. As noted above we can exclude your email from the PDF version of the directory.
